Theatre Hire

 1. Payment

Full payment of the total hire charges and security bond (if applicable) is required to confirm all bookings. Any dates will remain unconfirmed and available to other Hirers until this payment has been received.

 2. Security Bond

A security bond applies to new hirers or high risk events. This covers such eventualities as damage to facilities and equipment in the theatre. This will be refunded to you on acceptable inspection of the theatre after the final event.

 3. Cancellation

Where bookings are cancelled 7 days prior to the event no refund will be made. Where booking are cancelled between 8 – 30 days prior to the event a 50% refund will be made. Bookings cancelled more than 30 days prior to the event a 100% refund will be made.

 4. Hours

Any variation to the hours set out in this contact are not allowed. Please contact the booking officer if you require a change to the hours. Hours of hire are not allowed to extend past midnight, due to noise restrictions.

 5. Special Equipment

The theatre is equipped with a basic set of lighting and sound equipment. Anything above this basic setup needs to be agreed upon in this contract. Any other special equipment such as special lighting or sound, stage effects or other presentation equipment must be supplied by the Hirer.

 6. Technical Operators

New Plymouth Little Theatre does not supply technical operators. The Hirer must provide their own, however a theatre lighting or sound operator may be suggested by theatre personnel but the cost and conditions are not within the limits of this contract. This cost is to be negotiated between the Operator and the Hirer.

 7. Theatre Bar

If your event requires the use of the bar, this needs to be arranged at the time of booking with the booking officer. The theatre is solely responsible for the administration of the bar and Special Licence. BREACHES OF LICENSING LAWS BY THE HIRER OR ITS AUDIENCE WLL RESULT IN THE BAR BEING CLOSED. The Hirer must comply with ALL requirements under current licensing laws.

 8. Damage Or Loss Of Theatre Equipment

The Hirer is responsible for any loss, breakage or damage to facilities in the theatre, including furniture, fittings and all technical equipment during the period of the hire and will be charge for any replacement or repair costs incurred by the society in replacing or repairing its property to the same condition it was prior to the hire period. Please report any breakages to the booking officer.

All property, including musical instruments, exhibits etc brought to the theatre by the Hirer, or belonging to the Hirer, is not the responsibility of New Plymouth Little Theatre. Hirers must carry their own insurance for any loss or damage to any person or property associated with them, or for any costs or damages incurred by them.

 9. Catering

Please discuss catering requirements at the time of booking. Our preferred supplier for catering is Le Dejeuner Catering. Their contact details are available from the booking officer. Hirers are not permitted to use kitchen facilities without prior consent.

 10. Supervision Of Children

All children are the responsibility of their parents or caregivers. If that responsibility is handed over to a supervisor for the duration of the hire, then that supervisor and the Hirer’s representative are jointly responsible for that child in the theatre. This includes supervision in and around the toilets. Where a child is out of vision of a supervisor or Hirer’s representative, then that child is deemed to be unsupervised. The theatre cannot take responsibility where a child is unsupervised.

 11. Fire Safety

The Hirer must nominate at least two people to be familiar with the basic procedures and safety equipment in the building. At least one of these persons is to be in attendance and are to do a ‘safety announcement’ prior to the start of each event. This person is to also act as the Warden in event of an emergency. It is the responsibility of the Hirer to keep the exit doors clear at all times. The aisles to each side of the auditorium to the fire exits must be maintained in all seating layouts. The maximum number of persons allowed in the theatre building is 99 as stipulated in the Building Warrant of Fitness.

 12. Right Of Refusal

New Plymouth Little Theatre reserves the right, without explanation, to decline any booking, or to refuse entry to the Theatre by any person or group. Under no circumstances may a hirer sub-let any part of the theatre.

 13. Breach Of Conditions

Any breach of these conditions may result in:-

a) Closure of the event

b) Refusal to accept future bookings

c) Theatre retaining the Bond and deposit held.

 14. Financial Members Day Rate

To be eligible for this rate, financial members must have actively participated in a NPLT produced show or event in the past 12 months. Any financial members hiring the theatre under the Financial Members Day Rate, do so under the following special conditions:-

a) The hire of the theatre is for a personal event of a non-commercial nature.

b) The theatre is to be cleaned the day after the event. This includes:-

i. Vacuuming the auditorium and foyer;

ii. Cleaning toilets;

iii. Cleaning and wiping down the kitchen;

iv. Cleaning and wiping down the bar area;

v. All rubbish and recycling put into the appropriate wheelie bins outside;

c) Table and chairs are to be arranged back to their usual positions.

d) Everything to be left how it was found. If the theatre is not left clean, tidy and in an acceptable condition then the Full Day Rate will be payable.

e) The Financial Members Day Rate is at the discretion of the NPLT committee.
